Q - What is a hosted service?
A – Hosted service means that we own, maintain and operate
the expensive servers and software which perform the document processing
tasks. Our software processes the forms and our operators validate
the results. You can spend your time performing more valuable tasks.
Q - How do I access my data?
A – The processed data is automatically fed into your in-house
billing system and is available for your access. Additionally, all
document images are stored at our site and can be accessed by your
staff via the Internet. The documents can be accessed by any index
value(s) that you choose. For example, you can view all the documents
associated with a date, doctor id or patient last name.
Q - What hardware do I need?
A – You only need a computer with internet connection to access
your data
Q - Is my information safe?
A – All communication is via an encrypted secure connection.
Q - What about backups?
A - Backups are done nightly three ways. We use offsite backups
via the internet, tape, and the data is also copied to redundant
servers. Backups to CD are also available upon request for a small
additional fee.
Q - What are the hours of operation?
A – Our servers are available 24x7. However, while backups
are done between 1AM and 3 AM Eastern standard time, system response
may be slower than normal.
Q - Is DocuMD HIPAA compliant?
A – DocuMD is currently compliant with all healthcare and
HIPAA requirements. We will continue to maintain compliance as new
requirements become available.
Q – Which types of documents do you support?
A – Currently, we can process patient registration forms automatically.
“Processing” means that our software reads the forms,
captures all the data, and feeds the data into your billing system.
Charge sheets, EOBs, bank deposits and other AR related documents
will be supported soon.
Additionally, all your patient, doctor, insurance and bank correspondence
can be archived on our servers at the present time.
Q - How much does the service cost?
A – Access to the archived documents costs $59/month per registered
user. Automated processing of Patient Registration forms are based
on the volume. Please contact us for a quote.
Q - How much time and resources would I save by using your
service?
A – This depends on your current operations and processes.
There are four main areas of savings:
1. You don’t need to manually enter data into your billing
system any more. Our customers have indicated that this has cut
down their staff by 50%.
2. You will not have to look through file cabinets and folders for
patient or insurance records. You can find archived records with
a few clicks.
3. You don’t need expensive office space for storing paper
documents.
4. Our software catches incomplete forms immediately. The incomplete
forms are rejected and e-mailed back to a designated e-mail address.
This way, precious time is saved by stopping the process at the
beginning.
Q - Is training and support available?
A – Yes, we train your staff once you subscribe to the service.
Technical Support is also available during normal business hours.
